At Familyworks, we value our clients, staff and volunteers and take your privacy very seriously. We will ensure that any personal information you provide us with is handled in accordance with our data protection policies and counselling agreement.
When you access our website, complete our referral form or submit an enquiry, you consent to us collecting and using your information. Most of the personal information we process is provided to us directly by you for one of the following reasons:
We use the information that you have given us to process your referral and ensure you receive counselling. We will use the information you provide us with to contact you about attending counselling and record this information as part of your counselling record.
We will share the referral information with Key Contact in the school you attend. The Key Contact is the teacher in each school who is responsible for the counselling service in school.
Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information are:
Your information is securely stored on our encrypted computer system.
We keep your name, home address and email address, contact numbers and D.O.B. for the time period of which it is needed. We will then dispose your information by removing the electronic information from our system.
We will not use your personal information for any purpose other than to contact you about your counselling, for records in relation to your counselling (personal information will be stored separately to any client notes or data) and to respond to a request for contact or communication with yourself. Familyworks NI will not use your information for any unsolicited calls, emails nor sales nor will we share your personal information with third parties.
As per the Counselling Agreement, Familyworks sometimes use anonymised data from the counselling service for research. You will not be identified during this process.
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
